Configure SMTP email delivery
Overview
Section titled “Overview”SMTP settings define the organization’s outbound server, TLS mode, authentication and sender identity. Saving settings, testing the connection and sending a test email are separate actions. Email Activities queues actual messages through the selected provider. A successful SMTP submission means the server accepted the message; it is not proof that the recipient received it.
Purpose
Section titled “Purpose”Use this procedure to configure and verify the transport before enabling customer-facing email or password recovery.
Prerequisites
Section titled “Prerequisites”-
Administrator identity for SMTP configuration, connection testing, and test-email operations. Sending a normal Email Activity is a separate operation governed by its communication and record permissions.
-
Approved SMTP host, port, TLS mode, authentication method, sender and test recipient.
-
Configured communication-secret encryption when login credentials are stored.
Procedure
Section titled “Procedure”-
Open Settings > Email & communications and select the SMTP configuration. Enter the approved hostname and port.
-
Choose STARTTLS or implicit TLS. Select no authentication only for an approved relay, or login authentication with the supplied username and password.
-
Enter the sender address, sender name, optional reply-to and a controlled test recipient. Save the settings before testing.
-
Run Test connection and review its current result and last test time. Correct DNS, TLS or authentication failures through the provider administrator.
-
Use Send test email only for the configured test mailbox. Confirm both the application acceptance result and arrival or provider trace in that mailbox.
-
Enable delivery as intended and create a reviewed Email Activity draft. Select SMTP explicitly when sending and inspect the resulting attempt history.
Expected result
Section titled “Expected result”The saved configuration passes the required transport test and a controlled external message has separately verified provider/mailbox evidence.
Important notes
Section titled “Important notes”-
Plain unencrypted SMTP is not an offered TLS mode. Ports must match the selected provider mode.
-
Stored passwords are not returned to the interface. Keep the external communication encryption key recoverable through the approved process.
-
Password recovery requires enabled SMTP and a valid public application origin as well as recovery configuration.
-
Never infer delivery from a historical mock Sent state. Current real submission is labeled Accepted.
Troubleshooting
Section titled “Troubleshooting”-
Connection test fails: review the safe failing stage, hostname, port, TLS mode and provider credentials.
-
Accepted but no email arrives: inspect the recipient’s quarantine and provider trace before resending.
-
A failed send is uncertain: review provider evidence before any retry to avoid a duplicate message.
